Administrative Associate
Automation Personnel Services is seeking a detail‑oriented, dependable Administrative Associate to support daily operations within our production facility. This role begins with a strong focus on shipping/receiving administrative tasks—such as scaling trucks, data entry, and document management—and will grow into higher‑level office responsibilities, including payroll and office management.
This position requires someone who is professional, friendly, adaptable, and comfortable interacting with a wide range of individuals, especially truck drivers and production personnel. The ideal candidate enjoys a fast‑paced environment and takes pride in accuracy and organization.
Pay Rate
$18.00 – $20.00 per hour Depending on Experience
Schedule and Hours
Monday through Friday, 6:30am-4/5:00pm, Also some Saturdays possible.
Administrative Associate- Duties and Responsibilities
Administrative & Office Support
- Answer and route incoming phone calls in a courteous, professional manner.
- Perform general data entry, filing, and document organization.
- Maintain accurate and up‑to‑date records for daily operations.
Shipping & Receiving Administrative Tasks
- Scale trucks in and out of the facility and accurately record all related data.
- Prepare, process, and manage Bills of Lading (BOLs) and shipping documentation.
- Assist with verifying quantities, paperwork, and inbound/outbound load details.
Accounting & Documentation
- Support invoicing processes, including data entry and verification of charges.
- Maintain organized files for invoices, BOLs, and other records.
- Ensure all documentation is accurate, timely, and aligned with company procedures.
As experience is gained, responsibilities will expand to:
- Assisting with or leading payroll processing.
- Overseeing general office operations.
Administrative Associate- Qualifications and Requirements
- Prior administrative experience preferred; experience in a production, logistics, or shipping/receiving environment is a plus.
- Strong attention to detail with excellent data accuracy.
- Comfortable working in a non‑traditional, production‑facility office setting.
- Ability to communicate effectively and professionally with diverse personalities, especially truck drivers and field staff.
- Strong computer and organizational skills.
- Reliable, punctual, and eager to learn and grow within the role.
Work Environment & Dress Code
This role is based in a production facility, not a standard corporate office.
Appropriate work attire includes:
- Jeans
- T‑shirt or casual shirt
- Closed‑toed shoes (tennis shoes or boots required)
