BILINGUAL OFFICE ADMINISTRATIVE COORDINATOR
Automation Personnel Services is seeking a professional and motivated Bilingual Office Administrative Coordinator to join our team at our Madison, AL branch. The ideal candidate will have excellent customer service and communication skills, strong organizational abilities, and the capacity to thrive in a fast-paced, high-volume office environment. Candidates must be bilingual and comfortable interacting with clients, applicants, and staff.
Pay Rate
$17.00- $20 per hour depending on experience
Schedules and Hours
Our workdays can sometimes be long and unpredictable. Our office is open Monday through Friday 8:00 am-5:00 pm, but the ideal candidate is able to work 40+ hours (including overtime when needed). Must be able to be on call some weekends and work after 5 pm as needed.
Bilingual Office Administrative Coordinator Duties and Responsibilities:
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
- Answer multi-line phone systems promptly, providing exceptional customer service and support to callers
- Maintain accurate data entry, filing systems, and document proofreading to ensure all records are current and error-free
- Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and report creation
- Oversee calendar management for team appointments, meetings, and deadlines with precision
- Support office management tasks such as supply inventory, mail distribution, and maintaining a clean workspace
Bilingual Office Administrative Coordinator Qualifications and Requirements:
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Exceptional phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are required to assist diverse client needs
- Previous experience as a receptionist or personal assistant is a plus
- Demonstrated attention to detail in proofreading, data entry, and filing tasks
- Strong time management skills to handle multiple responsibilities efficiently
